Who is responsible for your information
Jackson Giles Ltd, trading as Jackson Giles Legal Services (JGLS) and, for this service, as WillBot, company number 16214558, 1st Floor, 1 St James Court, Friar Gate, Derby, DE1 1BT, is the data controller for information you give us through WillBot. Jackson Giles Ltd is registered with the Information Commissioner’s Office as a data controller. What we collect
- Your account: name, email address, phone number and password (stored only as a one-way hash).
- For your will or Lasting Power of Attorney: your name, address, date of birth and relationship status; your family, including children’s names and dates of birth; the names, addresses and contact details of executors, guardians, attorneys and beneficiaries; what you want to leave to whom; funeral wishes; and anything you add in free-text boxes. This can include sensitive information, such as health, if you tell us about it.
- Information about other people: you give us details of people you name in your documents. Please only share what is needed, and let them know where appropriate.
- Payments: if you pay, Stripe collects your card details. We receive confirmation of payment and the amount, not your card number.
- Technical data: basic technical information needed to run the service and keep it secure. We do not use advertising or tracking cookies on willbot.co.uk. Your browser keeps a sign-in token so you stay signed in. Our pages load fonts from Google Fonts, which means your device contacts Google when a page loads.
Why we use it, and our legal basis
| Purpose | Legal basis |
|---|---|
| Create and review your documents, run your account, take payment | Contract: it is needed to provide what you asked for |
| Phone you about your will after review, if you agree | Consent, which you can withdraw at any time |
| Contact you about your documents and send service emails | Contract and legitimate interests |
| Keep records, deal with complaints and legal claims, meet legal duties | Legal obligation and legitimate interests |
| Offer you Lasting Powers of Attorney if you made a will, or the reverse | Legitimate interests, and you can opt out |
| Details about health or similar sensitive information you choose to give us | Your explicit consent, and establishing or defending legal claims |
Who we share it with
We do not sell your information. We share it only with:
- Our own will writers and reviewers at JGLS, so they can check your documents.
- Your partner, if you invite them to a mirror will: they see what is needed to confirm it.
- Service providers who help us run WillBot: Stripe (payments), Amazon Web Services (sending email, from its London region) and IONOS, our hosting provider, with servers in the United Kingdom. Anthropic (United States) provides the AI model that reads text you type into free-text boxes so we can put it in the right fields: see “How we use AI” below.
- Courts, regulators or the police if the law requires it.
Some providers, such as Stripe and Anthropic, are outside the UK. Where they are, we rely on approved safeguards such as the UK addendum to the Standard Contractual Clauses.
How we use AI
WillBot uses artificial intelligence to read and organise what you type. For example, if you write your full name or address in a box, an AI model splits it into the right parts for your document. The text of that answer is sent to Anthropic, which runs the AI model on our behalf, and it is used only to return the organised version to us. We do not send your account details or payment details.
The AI does not give legal advice, does not decide which questions you are asked, and does not decide what goes in your will. Fixed rules decide the questions, and a will writer at JGLS reviews your will before it is finalised. You see a plain-English summary of everything and confirm it before it is final.
How long we keep it
- Client files (your wills and Lasting Power of Attorney documents): 7 years after completion, or longer where the law requires.
- Identity documents, if we ask for any: 5 years after our relationship ends.
- Enquiries from people who do not become clients: 2 years from last contact.
- Unfinished wills: kept so you can come back to them. You can ask us to delete yours at any time.
Your rights
You can ask us to access, correct, delete, restrict or move your information, and you can object to how we use it. We will reply within one month. You can ask for human review of any decision that affects you: WillBot uses fixed rules to decide which questions to ask, and a person reviews every will before it is finalised. To exercise your rights, email privacy@jacksongiles.co.uk.
If you are unhappy with how we handle your information, please tell us first. You can also complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113.
Changes
We will post any changes on this page and update the date at the top.
